How it works

Will my customers know they're talking to an AI?
The AI identifies itself as your receptionist by name — for example 'Hi, this is Riley with Smith's HVAC.' Most callers don't realize it's AI because the voice quality is natural and conversational. If a caller directly asks whether they're speaking with a human or an AI, the agent truthfully discloses that it's an AI system. This is required by FCC guidelines and we always build it in.
Do I have to change my phone number?
No. You keep your existing business phone number. We simply set up call forwarding from your current number to your AI line — the process takes about 60 seconds with a few key presses on your phone. You can reverse it anytime. Your customers always see your number.
How quickly can I be set up and live?
Most clients are live within 48 hours of their onboarding call. The process is: request a demo → 30-minute onboarding call → we build and test your agent → you set up call forwarding → you're live.
What happens if the AI can't answer a question?
The agent is trained to say 'I'll have someone from our team call you back with that information' rather than guess or make something up. It never invents answers. It captures the caller's info and escalates to you.
Can I listen to my calls?
Yes — every call is transcribed and logged automatically. You receive a text summary after each call and can review the full transcript anytime in your call log dashboard.
What if a caller is angry or difficult?
The AI stays calm and professional no matter what — it never gets frustrated, reactive, or defensive. If a caller becomes abusive or the situation clearly requires a human decision, the AI flags it as urgent and immediately notifies you by text with the caller's name, number, and the nature of the issue so you can decide whether to call back. You stay in control without having to be on the phone.

Pricing & contracts

Is there a contract or long-term commitment?
No. All plans are month-to-month. Cancel with 30 days notice and you won't be charged again. No early termination fees, ever.
What happens if I go over my monthly minutes?
Usage above your fair-use threshold bills at $0.19 per minute. We'll text you when you reach 80% of your threshold so there are no surprises. Most clients stay comfortably within their plan.
What's included in the setup fee?
The one-time setup fee covers your onboarding call, AI agent configuration, voice and personality setup, knowledge base build, phone number provisioning, call forwarding setup, and full testing. Everything is done for you.
Can I change plans later?
Yes — upgrade or downgrade anytime. Changes take effect at the start of your next billing cycle. No penalties.
Do you offer refunds?
We offer a 20-call guarantee — if your AI doesn't answer at least 20 calls in your first 30 days, your first month is free. Beyond that, given the setup work involved, we don't offer refunds on completed months.

Privacy & security

What data does the AI collect about my callers?
Only what a human receptionist would hear: caller name, phone number, email if provided, reason for calling, and a call transcript. We never collect payment card information, health records, Social Security numbers, or any sensitive personal data.
Who can see my callers' information?
Only you. We share caller data with no one — not advertisers, not data brokers, not other businesses. The only exception is if required by a court order or law enforcement with proper legal authority, which is extremely rare.
How long do you keep my data?
Call transcripts are automatically deleted after 90 days. All caller data associated with your account is deleted within 30 days of cancellation upon written request.
Is this HIPAA compliant?
Dax AI is not a HIPAA-compliant service. We serve dental offices, veterinary clinics, chiropractors, and optometrists for scheduling and general inquiries only — we never collect, store, or process Protected Health Information. Track B clients acknowledge this limitation during onboarding.

What AI technology powers this?
Dax AI uses enterprise-grade conversational voice AI — the same category of technology used by large companies to handle customer interactions, adapted and configured specifically for small business call handling. The voice is natural and conversational, not robotic. What phone systems does this work with?
Dax AI works with any phone system that supports call forwarding — which is virtually all of them. This includes AT&T, Verizon, T-Mobile, and most VoIP and business phone systems. We provide carrier-specific forwarding instructions for each carrier.
Can the AI book appointments into my calendar?
Yes — on Professional plans and above, the AI can book appointments directly into your Google Calendar or via your Calendly booking link. Callers can schedule during the call without you being involved.
What if I want the AI to sound different or handle calls differently?
We can adjust the agent's voice, personality, greeting, and response rules at any time. Just contact us and we'll update the configuration — usually within 24 hours.
Can I have multiple locations or phone numbers?
Yes — additional local phone numbers are available for $15/month each. Each number can have its own agent configuration for different locations, departments, or after-hours handling.
What languages does the AI support?
English and Spanish bilingual support is available as an add-on for $149/month. The AI can seamlessly switch between languages during a call based on how the caller speaks.
